6 WP 5 Dissemination

6.1 Tasks

T9.1 Dissemination and exploitation plan and monitoring [M1-M36] (Lead: TRI; Participants: all) The Dissemination & Exploitation Plan will build upon the activities outlined in Section 2.2. It will include (i) stakeholder analysis to identify all relevant stakeholders, their interests and motivations related to the  project, and the potential benefits that the project will provide to each stakeholder group; (ii) network and cooperate with other EU funded projects by organising joint meetings and workshops; and attend, organise and present at third party events, conferences, workshops, webinars and stakeholder meetings to disseminate the project’s results, as well as write peer review journals and articles for publication on the project’s results; and (iii) establish KPIs to evaluate the effectiveness of the dissemination activities. Information on partners’ dissemination activities and progress in meeting KPIs will be collected and monitored regularly (i.e., monthly). Exploitation actions will be undertaken to encourage the use and uptake of project tools and solutions for further research or commercial activities by key stakeholder groups during and after the life of the project. T9.2 Communication plan and monitoring [M1-M36] (Lead: SYNYO; Participants: all) This task will consist of developing a Communication Plan the aim of which will be to inform the media and the general public about the project and its results as well as promote them and showcase the project’s impact. The plan will outline the specific messages for the different stakeholders (e.g., benefits that the project provides to each stakeholder) and the specific communications channels used to deliver them, including newsletters, and policy recommendations. It will harness the power of social media, especially when engaging with the general public. This strategy will be periodically reviewed for its effectiveness and will be modified and adapted accordingly. KPIs will be established to evaluate the effectiveness of the communication activities. Information on partners’ dissemination activities and progress in meeting KPIs will be collected and monitored regularly (i.e., monthly) SYNYO to ensure the effectiveness of the communication plan. T9.3 Establish an online and media presence [M1-M36] (Lead: SYNYO; Participants: all) Aim of this task is to design, develop and update the project website according to the colours and strapline established. The project website will be a key tool to promote the project, its aims, activities and results to the stakeholders identified in Task 6.1. It will be regularly updated with blog articles developed by the consortium as well as associated partners, as well as press releases, deliverables and information on the project’s activities. Furthermore, we will create and maintain the project’s social media accounts (e.g., Twitter, LinkedIn, Facebook, YouTube, Instagram) to raise awareness, publicize the outcomes and outputs of the project and to engage relevant stakeholders. The task will draw on WPs1-8 to post information about the project’s activities, findings and outputs.      T9.4 Public outreach and engagement with existing projects and networks [M1-M36] (Lead: TRI; Participants: all) In this task, we will identify and map relevant projects, organisations and clusters working on similar topics. This task will also consist of inviting projects funded under this same call to the KOM in M1 to enable communication and cooperation early on. TRI will maintain contact with all relevant projects to establish a relationship and open communication channels. In M5 the dissemination, exploitation and communication lead will hold a virtual meeting in which they will present COVINFORM and ask all the projects funded under this call to do the same, possible crossovers, potential gaps to be addressed and potential joint dissemination activities such as campaigns. Furthermore, we will create a publication calendar and blog schedule for the consortium as well as a list of relevant events, conferences and workshops which will be organised in an open online calendar which the consortium will share with other projects. Building on this, the consortium will jointly create publications, present at workshops and conferences, and pitch content to blogs, online magazines, and local media for features, interviews, or guest posts.

6.3 Open Output

  1. Ensure unified output by defining the most appropriate format for the report before publishing, and justifying changes to format output across reports. Best practice: A detailed description of output is provided, including a sample output published pre-release of final results, using version control within and across reports

  2. Establish a clear link between input and output by displaying how the output changes under different assumptions. Best practice: An interactive tool allowing for adjusted inputs is provided, and its underlying code shares the same key sections of code behind the analysis section.

6.4 Open Materials

  1. Provide clear accounts of all methodological procedures in a way that is easily interpreted by an informed reader. Code is clearly documented into a dynamic document, or open notebook. No spreadsheets. Our Methodologies are part of our Proposal, and they can be fined as dynamic document on the Github repo github.com/dataobservatory-eu/report-european-music-economy, and versions with metadata and DOI of the methodology document on the Zenodo open science repository under the title Digital Music Observatory.

  2. Share raw (or analytic) data and materials in a way that the analysis is reproducible with minimal effort.

  3. Share an open report that includes clear accounts of all methodological procedures, data, and assumptions. Best practice: All project components are organized in a selfcontained folder using a Standard File Structure (SFS), and a readme file is included. We place all files with SFS on the European open science repository Zenodo on zenodo.org/communities/music_observatory/.

  4. Label and document each input, including data, research, and guesswork. Best practice: List all inputs, their sources, and provide links or detailed references. We use DublinCore and DataCite mandatory and recommended descriptive metadata to provide not only full bibliographic reference, but also full findability and interoperabilty, and clear reuse conditions.

  5. Ensure that code/spreadsheets are reproducible. Best practice: For code: Code is easily readable and possible to run with just one click. Spreadsheets are published with the code, and the code re-creates the spreadsheet from the latest data on one click. New runs are placed in the Digital Music Observatory community space on Zenodo, like .

  6. Use a version control strategy. Best practice: All team members use version control software and track changes in a shared project repository. This document is placed in a version controlled repostiory github.com/dataobservatory-eu/report-european-music-economy

D9.1 Dissemination & Exploitation Plan [R /PU/ M3, updated M18] - TRI. This deliverable will outline the dissemination plan which will be focused on disseminating the project’s results, it will lay out the target stakeholders as well as the targeted means to reach them.  This will be updated in M18 for adjusting the plan to the requirements of the project and new opportunities and challenges. Furthermore, this plan will lay out the various activities which will seek to encourage stakeholders to use and uptake the tools and solutions developed by the project for further research or commercial activities D9.2 Communication Plan [R/PU/ M3, updated M18] - SYNYO. This deliverable will be a preliminary communication plan outlining the communication activities as well as the KPIs to monitor them. The communication plan will also include a social media strategy and campaign strategy.  D7.3 Press Kit [R/PU/ M6 updated throughout the project, M36] - SYNYO. This will include developing the house style including the project logo, colours and strapline, infographics, poster, brochure, banner stand, presentation templates and one-page fact sheet  D9.4 Podcasts [DEM/ M15, M28- TRI. Three podcasts will be developed. D9.5 Videos [DEM/ M17, M30] -TRI. Three videos will be developed.  D9.6 Scientific dissemination summary report project [R/PU/ M36] – TRI. The report highlights the activities of the consortium towards the scientific dissemination of the project outcomes as well as (if applicable) an estimation and quantification of the impact of the consortium’s scientific dissemination activities.    D9.7 Final Outreach Report [R/PU/ M36] - TRI. This will include the learnings, best practices, and challenges in engaging with stakeholders in addressing emergency medical situations such as pandemics. It is hoped that this report will also help future projects implement successful communication and outreach strategies.
